*NEW* 7.4 and Higher - Workgroup Essentials Follow
The helpful Workgroup Essentials Page is automatically created the moment a Workgroup is created. The Workgroup Essentials landing page is accessed by clicking on the Workgroup name in Navigation. Here, Users can easily find recent Announcements, Upcoming Events, Workgroup Details, Members, Assistant Managers, and Usage.
There are six sections here. As a Workgroup Manager, you have the ability to utilize all six, and can assign permission to other Users as well.
Side Note: If you Navigate away from the Workgroup Essentials page, you can return to it by right clicking the Workgroup Name and choosing Workgroup Essentials from the menu, or double-left-clicking on the Workgroup Name.
The six sections of the Workgroup Page cannot be moved around or changed – this page is static. It has several useful features and lots of great information. We will cover each section individually.
OS Pro Note: (For an even deeper dive on Workgroup Essentials, check out Workgroup Manager – Workgroup Configuration Guide!)
1: Recent Announcements
The top left corner of Workgroup Essentials page displays this Workgroup’s Recent Announcements. Workgroup Members will see any announcements from today by default; that accordion is already open. The previous four calendar days of Announcements may be opened by clicking the arrows next to
them.
Workgroup Members with appropriate permissions can add quickly a new Announcement by clicking the plus sign in the top right. For information on Announcement Permissions, see this mini-guide.
Announcements are a form of “one-way” communication, allowing members to quickly inform or alert other Workgroup members of important information (without clogging up email!)
2. Upcoming Events
Underneath Recent Announcements on the left side is Upcoming Events. One-part Calendar, One part ‘Special Day’ notifier, this section is packed with great information. Workgroup Members will see any Events for today by default; that accordion is already open. The next four calendar days of Events may be opened by clicking the arrows next to them.
If your Workgroup has several upcoming events, you can filter what you see by un-checking one or more
displayed items. Birthdays and Anniversaries are pulled in from the information on your Workgroup Members profiles.
Side Note: If your Workgroup Members are concerned that their information isn’t appearing properly, you might remind them to update their User Profile by visiting My Settings->My Profile.
Workgroup Members with appropriate permissions can add quickly a new Event by clicking the plus sign in the top right. Permissions, Events and Event types are ultimately controlled by your Workgroup Calendar settings.
3. Usage
Workgroup members can see up-to-date Usage and Activity, updated in real-time with colorful graphics on the Workgroup Essentials Page. (Since we just created this Workgroup, it doesn’t have any data to report!) You cannot control anything here directly – this section is “Display Only.”
4. Details
This section shows the some of the details (4) that were entered when the Workgroup was set up. If you need to edit or change them, you can do so from Workgroup Properties.
Other than these four items pulled from the Properties, you cannot control anything here directly – this section is “Display Only.”
5. Assistant Managers
The middle right side of Workgroup Essentials page displays this Workgroup’s current Assistant Managers.
You can also see two more items: A plus sign that lets the Workgroup Manager (or Assistant Managers with proper permissions) add new Assistant Managers and a drop down that gives the option of Managing All Assistant Managers (again, only if you have proper permission) Alert All Assistant Managers, or Email All Assistant Managers. Alert All and Email All are only available to Managers and Assistant Managers.
6. Members
The middle right side of Workgroup Essentials page displays this Workgroup’s current Members (6). This list can be sorted by Users or by Roles.
You can also see two more items: A plus sign that lets the Workgroup Manager (or Assistant Managers
with proper permissions) add new Members and a drop down that gives the option of Managing All
Members, (again, only if you have proper permission) Alert All Members, or Email All Members. Alert All and Email All are only available to Managers and Assistant Managers
Side Note: The Workgroup Manager is automatically added as a Member by Default. Assistant Managers are not – you may wish to add them, if they need to be able to utilize the Workgroup content.
