Customers have been asking how they can hide select users (usually administrative accounts that don't need to be visible to everyone) in their portals from the Employee Directory. Our support team has put together the following steps showing how to accomplish this.
You will need to create a custom profile field for the User profiles. The image above shows you the path (Portal Tools>Manage Users>Profile Field Manger).
Once in the Profile Field Manager, click on New Field to create a new field. You will want to select Radio Button and it should look something like the picture below.
- Go through and set True for each user you want excluded from Employee Directory; False for everyone you want to show in the Employee Directory.
- This will need to be done manually for each employee. Using the path (Portal Tools>Manage Users>User Profiles>Edit Profile), you can then check the button and then hit OK.
You'll need to add the new custom field to the Employee Directory Filter options. This is done by going to the Manage Employee Directory Module tool (Path is Module Tools>Portal Framework>Manage Employee Directory). I've included a picture below.
As the picture shows, you will need to find the new field (all fields will be listed by their name), and then move it to the right side.
Then you will need to click on Update, which will list the field in the list below. In the fields listed below, make sure the box for Enable Filter is checked for the Exclude from Emp Dir field. You'll also need to put in a header text (in this example I used the same name as the Field, but you can choose whatever would be most appropriate for your organization).
After you've completed that, hit Save to apply the changes.
The final part in this process is completed in the Employee Directory Island actions.
To start, navigate to where you have your Employee Directory Island and click on the actions menu. Select Configure Fields and you'll see what's pictured below.
Once here, move the field from the left to the right side. Then check the box labeled Default Filter, and then hit the Refresh button that appears.
Click on the drop down for Filter Column and Select "Exclude from Emp Dir". In the Filter Criteria field, type in False and hit Add Filter, and finally hit Save.
This will apply your filter settings and then take you back to the page with the Employee Directory Island. You will now see all users who have False set to the custom field.
